Job Purpose:

The Student Information System (SIS) Specialist supports the Registrar’s Office (RO) in the implementation, validation, and ongoing operation of the Banner student information system. Reporting to the Registrar, the role ensures that system configurations and processes align with academic and operational requirements. The position supports testing, data validation, and issue resolution across key functions such as registration, student records, grading, progression, and graduation. Acting as a liaison between the Registrar’s Office, IT, and vendors, the Specialist helps ensure timely resolution of system issues and smooth system performance. The role also contributes to documentation processing, user support, and training, ensuring effective system adoption and reliable academic operations.

Key Responsibilities:

Banner Functional Support

  • Provide functional support to the Registrar’s Office in relation to Banner Student modules and related academic processes.
  • Assist in reviewing Banner configuration and validating that system setup supports approved academic and operational requirements.
  • Support the follow-up of Banner-related issues, system gaps, and functional questions raised by users.
  • Work closely with the Registrar’s Office and relevant stakeholders to help resolve functional issues in a timely manner.

Testing and Validation

  • Support user acceptance testing (UAT), validation activities, and business process checks across key academic functions.
  • Assist in preparing test scenarios, reviewing test results, and documenting issues for follow-up with IT and/or the vendor.
  • Help validate data accuracy and process outcomes related to registration, student records, grading, progression, and graduation.
  • Support post-go-live validation and stabilization activities.

Process Documentation and Operational Support

  • Assist in documenting business processes, system procedures, workarounds, and functional guidance related to Banner operations.
  • Help prepare standard operating procedures and reference materials for internal use within the Registrar’s Office.
  • Support the Registrar’s Office in aligning Banner-related processes with operational practice during the transition period.
  • Assist with tracking open items, risks, and pending actions related to SIS functional work.

Stakeholder Coordination

  • Liaise with the Registrar’s Office, IT, and vendors on functional matters related to Banner.
  • Support meetings, follow-ups, and communication related to system issues, testing progress, and process readiness.
  • Help ensure that functional matters raised by the Registrar’s Office are clearly documented and communicated to the relevant parties.

Training and User Support

  • Provide hands-on support to users on Banner-related functional matters as needed.
  • Assist in preparing quick guides, job aids, and practical user support materials.
  • Support the Registrar’s Office in clarifying processes and addressing operational questions during implementation and stabilization.

Other Duties

  • Carry out all other duties as reasonably directed by the line manager that are commensurate with these functional objectives.

Academic Qualifications:

  • Bachelor’s degree in Business Administration, Information Systems, Higher Education Administration, or a related field.
  • A postgraduate degree in a related field will be preferred.

Professional Experience:

Essential

  • Minimum of 3-5 years in student systems/registrar operations or higher-ed business systems, with hands-on process ownership.
  • Demonstrated experience leading SIS implementations or major upgrades from the business side (preferably Ellucian Banner or similar).
  • Good functional knowledge of academic operations such as registration, student records, grading, progression, and graduation.
  • Experience supporting SIS implementation, testing, or post-go-live activities.
  • Ability to document processes clearly and work closely with operational users.
  • Strong coordination, communication, and problem-solving skills.

Preferred

  • Sound understanding of student information systems and academic administration processes.

  • Demonstrated ability to work in a structured, organized, and methodical manner.
  • Effective documentation, tracking, and follow-up capabilities.
