Job Purpose:

The Research Office Coordinator has an integral role in the efficient functioning of the Research Office for administration and reporting. This position provides essential administrative, scheduling, and executive support, ensuring seamless day-to-day workflow coordination and managing internal reporting processes. The Coordinator serves as the central point of contact for internal communications and logistics, while also monitoring and reporting on key performance indicators (KPIs) and strategic initiatives.

Key Responsibilities:

Research Administration & Workflow Coordination:

  • Provide daily administrative and operational support to ensure seamless office functioning.
  • Coordinate team schedules, meetings, and shared resources to support collaborative work across units.
  • Assist with onboarding processes for new staff and maintain office documentation and filing systems.
  • Liaise with internal departments to streamline research support processes.

Executive and Operational Support:

  • Provide executive assistance to senior leaders within the Research Office, including calendar management, travel coordination, and preparation of meeting materials.
  • Submit Research Office procurement requests, (exclusive of Research Grant-related) and invoice tracking in line with institutional policies.

Internal Reporting & Performance Monitoring:

  • Maintain dashboards, trackers, and documentation to support internal reporting needs.
  • Compile data to prepare regular reports on operational performance and KPIs for senior management.
  • Support strategic project reporting by collecting, organizing, and synthesizing updates from project leads; monitor timelines, deliverables, and risks to ensure alignment with strategic goals.
  • Coordinate reporting cycles for strategic initiatives, including input consolidation, formatting, and distribution of status reports and briefing materials.
  • Ensure timely and accurate reporting in compliance with institutional and external requirements.

Other Duties:

  • Perform all other duties as reasonably directed by the line manager that are commensurate with these functional objectives.

Academic Qualifications:

  • Bachelor’s degree in Business Administration, Public Administration, Research Management, or a related field.
  • A postgraduate degree will be preferred.

Professional Experience:

  • Minimum 3 years of experience in administrative coordination or office management, preferably within a research or academic environment.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook); familiarity with project management or reporting tools like Power BI is a plus.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage multiple tasks in a fast-paced environment.
  • Strong interpersonal skills with a service-oriented attitude and the ability to collaborate across teams.
  • Ability to handle sensitive information with discretion.
