The Learning & Development Officer provides essential coordination and administrative support to ensure MBZUAI’s learning programs, workshops, and digital learning activities run smoothly and effectively. The role supports the delivery of a positive and professional learner experience through logistics, communications, record-keeping, and day-to-day learning operations. Reporting to the L&D Lead and working closely with the Digital Learning Specialist and wider HR team, the Officer contributes to key learning initiatives and owns defined projects that enhance the efficiency, visibility, and consistency of L&D services as part of MBZUAI’s broader capability, culture, and career development agenda.
Key Responsibilities:
Learning & Development Operations and Coordination
- Coordinate the implementation of the annual Learning and Development (L&D) calendar, including programs, workshops, campaigns, and leadership initiatives, under the direction of the L&D Lead.
- Support the operational delivery of leadership development, coaching initiatives, and core capability programs to ensure consistency, quality, and alignment with MBZUAI’s culture, leadership expectations, and national talent development priorities.
- Ensure L&D operations contribute to a seamless, professional, and engaging learner experience across the University.
Program, Event, and Logistics Management
- Coordinate end-to-end logistics for workshops, development sessions, learning events, and leadership programs, ensuring effective planning and execution.
- Prepare and manage learner communications, including invitations, reminders, instructions, and post-session follow-ups.
- Track attendance, program completion, and certification records in coordination with HR Operations and as directed by the L&D Lead.
- Support procurement and purchasing processes related to external learning providers and facilitators.
Digital Learning and Systems Support
- Support the administration of the Learning Management System (LMS), including enrolments, content uploads, scheduling, and basic user support, in collaboration with the Digital Learning Specialist.
- Assist with the coordinator and monitoring of digital learning campaigns and blended learning activities.
Evaluation, Reporting, and Data Support
- Collect learner feedback and participation data and prepare summary reports to support evaluation and decision-making.
- Maintain accurate learning records and update dashboards related to attendance, utilization, and engagement.
- Assist in gathering and preparing learning data to support continuous improvement initiatives.
Project Ownership and Continuous Improvement
- Take ownership of defined L&D operational projects, such as maintaining the central learning calendar, managing learning repositories, coordinating recurring programs, or supporting the L&D communications cycle.
- Develop simple learner-facing materials, including guides, checklists, and FAQs, to support program delivery and accessibility.
- Lead first-level coordination for assigned learning initiatives in partnership with the L&D Lead.
Change and Transformation Support
- Support organizational change initiatives by coordinating training logistics and assisting with the development of basic digital or learning materials related to new systems, processes, or ways of working.
Academic Qualifications Required:
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
Professional Experience Required:
Essential
- Minimum of 2-5 years of progressive experience delivering client-focused HR services, with a strong emphasis on culture, employee engagement in complex organizations.
- Proven experience supporting learning and development programs aligned with organizational strategy and culture.
- Experience facilitating leadership and professional learning using effective adult learning methods.
- Practical experience embedding coaching practices and equipping managers with tools to strengthen people leadership.
- Experience developing learning materials and blended learning content for diverse audiences.
- Ability to evaluate learning effectiveness using data, feedback, and analytics.
- Experience collaborating with HR teams and engaging internal and external stakeholders.
Preferred
- Familiarity with learning and development in higher education or complex organizations.
