Job Purposed:
The Academy is MBZUAI’s executive education arm, delivering leadership programmes, executive training, and self-paced Al literacy courses to government and private-sector partners across the region. Our learning experience platform (LXP), our automation layer, and the data behind both are central to how those programmes are delivered. The Al Tech Specialist keeps that environment running and helps build what comes next. Day to day, you will work on LXP requests from our partner organizations – access, enrolment, content, reporting, and troubleshooting. Alongside that, you build the automations and Al agents that reduce repetitive work for the team and support the rollout and deployment of The Academy’s data and reporting infrastructure. The role is a deliberate mix of operational and technical work. You do not need to be a software developer, but you do need to understand how these systems connect, communicate confidently with partners, vendors, and internal teams, and be trusted to cover the function when the Lead is out of office.
Key Responsibilities:
Learning Platform Operations
- Own the LXP support queue: resolve requests on access, enrolment, content availability, and platform issues within agreed response times.
- Onboard and off-board partner organizations, including accounts, cohorts, permissions, and course assignments.
- Upload, configure, and quality-check course content ahead of each cohort launch.
- Produce and share partner and programme reports, validating figures before they are issued.
- Maintain documentation for recurring issues so resolutions are repeatable across the team.
Partner and Stakeholder Management
- Act as a professional point of contact for partner organizations on all platform matters.
- Manage escalations with the LXP vendor and MBZUAI IT through to resolution.
- Coordinate with programme teams, Marketing & Communications, and Finance during cohort launches and delivery periods.
- Represent the function and maintain continuity of service when the Lead is unavailable.
Automation and AI Workflows
- Build, test, and maintain workflow automations using n8n and comparable tools.
- Support the development and deployment of internal Al agents that remove recurring manual tasks from team member.
- Integrate the systems these workflows depend on: n8n, LLMs, Databases, LXP, Salesforce, Microsoft 365, web forms, and reporting tools.
- Monitor automations in production, investigate failures, and implement fixes.
- Document each workflow so it can be maintained by someone other than its author.
Data and Reporting Infrastructure
- Support the implementation of The Academy’s databases and data warehouse in line with the agreed architecture.
- Clean, standardize, and consolidate programme, participant, and alumni data.
- Migrate records and content into the agreed single source of truth and apply data-structure and naming conventions consistently.
- Prepare datasets for dashboards and leadership reporting.
Professional Experience:
Essential
- Three or more years in technical operations, systems administration, or digital learning operations.
- Experience administering an LMS or LXP and managing a support queue with defined response expectations.
- Practical experience with workflow automation tools such as n8n, Make, Zapier, or Power Automate.
- Strong data-handling ability: advanced spreadsheet skills and confidence cleaning and restructuring large or inconsistent datasets.
- Technical literacy sufficient to understand how connected systems work, brief IT and vendors precisely, and assess whether a proposed fix is sound.
- Professional written and spoken English, with the judgement to manage external partner communication independently.
- Organized, self-directed, and able to own a workstream.
Preferred
- Administrator experience with a modern LXP (Sana, Docebo, 360Learning, LearnUpon).
- Scripting ability in Python or JavaScript for data processing and integration work.
- Exposure to Al and LLM tooling: prompt design, API integrations, or agent frameworks.
- Salesforce administration and Power Bl or an equivalent reporting tool.
- Working Arabic for bilingual content and regional partner communication.
- Background in higher education, executive education, or corporate learning.
