Job Purpose:

The Admissions Exam Systems & Quality Specialist will be responsible for leading the development, maintenance, and continuous improvement of the Graduate Admissions Screening Exam. This role combines technical expertise, project management, and academic coordination to ensure the exams remain rigorous, fair, and aligned with institutional goals. As the university expands its academic portfolio, the specialist will play a pivotal role in scaling exam processes to support more departments, specialized content, and ensure the quality and integrity of the admissions screening exam.

 

Key Responsibilities:

Exam Development and Coordination

  • Facilitate the planning, design, and development of screening exam content in collaboration with faculty and subject matter experts.
  • Ensure exams are aligned with curriculum goals and institutional admission standards.
  • Coordinate the development cycle across multiple departments, ensuring balance and representation of specialized subject areas.
  • Maintain accurate documentation and version control to support long-term sustainability.

Quality Assurance (QA) and Standardization

  • Establish and drive QA protocols throughout the exam development process, ensuring accuracy, consistency, and fairness in all exam content.
  • Conduct reviews of question structure, difficulty level, and technical validity to inform development requirements.
  • Implement test runs and technical checks to identify and address potential issues before exam deployment.

Data Analysis and Continuous Improvement

  • Perform quantitative and qualitative analyses of exam results to identify trends, content gaps, and improvement opportunities.
  • Provide actionable insights to faculty and leadership, highlighting strengths and areas for refinement in admissions exams.
  • Use data-driven evidence to inform future question development and admission exam design strategies.

Technical Oversight and System Maintenance

  • Manage admission exams system workflows, including question formatting, uploading, versioning, and compatibility checks.
  • Troubleshoot and resolve technical issues related to the exam platform.
  • Oversee data extraction, processing, and reporting for post-exam analysis.
  • Act as the technical point of contact between the Admissions Offices, IT services, and platform vendors.

Stakeholder and Team Coordination

  • Collaborate with faculty contributors, departmental representatives, and support staff.
  • Recruit, train, and manage volunteer or adjunct contributors involved in exam development and delivery.
  • Facilitate workshops and training sessions to ensure contributors are aligned with exam processes and standards.

Other Duties

  • Perform all other duties as reasonably directed by the line manager that are commensurate with these functional objectives.

Academic Qualification:

  • A minimum of a Bachelor’s degree Computer Science, Data Science, Educational Technology, or related technical or relevant discipline.
  • A postgraduate degree in a related discipline is preferred.

Professional Experience:

Essential

  • Minimum 4 years in higher education or admissions testing, with hands-on exam development, educational assessment, and/or technical coordination.
  • Proven delivery of multi-stakeholder projects with competing deadlines, experience leading cross-department initiatives.
  • Strong proficiency with exam platforms and item/format standards, oversight of assessment system design, implementation, and lifecycle management (including integrations).
  • Advanced analytics in building dashboards and analyze exam/item performance using Python, R, Pandas, SQL (or equivalents) to drive integrity, fairness, and efficiency.
  • Working knowledge of cloud platforms (e.g., AWS, Azure) and exam-system integrations.
  • Familiarity with psychometrics and exam standardization practices.
  • Demonstrated commitment to accuracy, compliance, accessibility, and process integrity with rigorous documentation, version control, and audit-ready procedures.
  • Effective collaboration with academic units, IT, Registrar/Admissions, and faculty committees to align requirements, timelines, and service levels.
  • Proven ability to scale systems and processes, standardize workflows, and support additional departments and specialized content.

Preferred

  • Exposure to and understanding of Middle Eastern business and cultural practices.
