Job Purpose:
The Protocol Officer is responsible for the operational planning and execution of protocol engagements including official visits, high-level delegations, VIP engagements, and institutional ceremonies. The role ensures the consistent implementation of protocol standards, diplomatic etiquette, and operational coordination across internal departments and external stakeholders.
Key Responsibilities:
Delegations & Official Visits Management
- Coordinate the end-to-end management of official delegations and institutional visits.
- Prepare structured visit programs including agendas, meeting schedules, and leadership briefings.
- Coordinate with internal departments to ensure readiness for VIP engagements and site visits.
- Ensure protocol compliance for all official visits.
Protocol Operations & Execution
- Implement institutional protocol procedures for official engagements.
- Manage protocol logistics including meeting room setup, seating arrangements, flags, and official materials.
- Ensure readiness of protocol elements prior to visits and events.
- Provide real-time protocol support during official engagements.
MoU Signing Ceremonies
- Coordinate the preparation and execution of MoU signing ceremonies and partnership announcements.
- Prepare ceremony logistics including signing tables, documentation, folders, and stage arrangements.
- Ensure compliance with institutional and legal procedures for signing ceremonies.
Stakeholder Engagement & Coordination
- Liaise with government entities, embassies, and institutional partners to coordinate protocol arrangements.
- Facilitate communication between internal departments and external stakeholders.
- Support institutional engagement with strategic partners and visiting delegations.
Protocol Governance & Documentation
- Maintain structured records of delegations, visits, and official engagements.
- Develop and update protocol templates including visit agendas, briefing notes, and seating plans.
- Support the implementation of protocol procedures and operational guidelines.
Executive Protocol Support
- Provide protocol support to senior leadership during official meetings and VIP engagements.
- Ensure leadership briefings and meeting arrangements are aligned with protocol standards.
- Assist in managing leadership interactions during high-level visits.
Academic Qualification:
- Bachelor’s degree in International Relations, Public Administration, Business Administration, or a related field
Professional Experience:
- 3–5 years of experience in Protocol Affairs, Government Relations, Diplomatic Engagement, or Institutional Events.
