Job Purpose:
The Undergraduate Admissions Officer supports the day-to-day operations of MBZUAI’s undergraduate admissions process, ensuring efficient application handling and a positive experience for prospective students. This role is responsible for applicant communication, administrative coordination, and maintaining accurate records throughout the admissions cycle. It plays a key role in supporting application review, scheduling, and cross-departmental collaboration to uphold the integrity and effectiveness of the admissions workflow.
Key Responsibilities:
Application Processing & Documentation:
- Review and verify applicant materials (e.g., transcripts, test scores) for completeness and compliance with MBZUAI’s entry requirements.
- Maintain accurate records in the admissions database (e.g., CRM systems) and update applicant status.
Student & Parent Communication:
- Respond to inquiries via email, phone, and in-person meetings about application related questions.
- Provide basic guidance to applicants on next steps (e.g., interview scheduling, document submission).
Evaluation & Administrative Support:
- Support in pre-screening candidates for committee review.
- Schedule interviews and assessments with the undergraduate admission committee.
Cross Department Collaboration:
- Liaise with academic departments to gather program-specific information for applicant FAQs.
- Support the marketing team by sharing applicant feedback or trends observed during interactions.
Other Duties:
- Carry out all other duties as reasonably directed by the Line Manager, to support the department and MBZUAI’s objectives.
Academic Qualifications:
- Bachelor’s degree in Education, Communications, Business Administration, or a related field.
Professional Experience:
Essential
- Minimum 1 year in administrative or customer service roles, preferably in top-ranked higher education (STEM/AI focus is a plus).
- Strong interpersonal and presentation skills.
- Ability to filter and identify top talents out of thousands of applicants.
- Proficiency in CRM systems (particularly Salesforce) and data analytics tools.
- Knowledge of AI-related global competitions, top-ranked high schools nationwide & worldwide, top AI conferences and journals, etc.
- Attributes: Cultural sensitivity, adaptability, and a passion for advancing AI education.
Preferred
- Graduation from a globally ranked (THE, QS, US NEWS, etc.,) top 100 universities.
- Dual- or multi-language speaker.
